RETURN & ROASTING POLICY

At Copan Trade, we are committed to delivering high-quality green coffee and exceptional service. To maintain transparency and comply with all FDA and SQF food-safety regulations, please review our updated Return & Roasting Policy below.


1. IMPORTANT — ONLINE ROASTING SERVICES

Any online roasting service purchased through our website is:

  • Performed by a certified third-party roasting company, not Copan Trade.

  • A custom food production service where your green coffee is roasted to order.

  • Considered a final, completed food product once roasted.

Because roasted coffee is a finished food item, FDA and SQF rules prohibit the return or resale of roasted coffee. For this reason, all roasted coffee orders are final sale and non-refundable.

We cannot accept returns, issue refunds, or exchange any roasted products once produced, regardless of roast level preference, taste, or extraction outcome.

2. GREEN COFFEE RETURNS

We gladly accept returns of green coffee only, within 7 days of delivery, under the following conditions:

Eligible for Return/Exchange

  • Damaged products

  • Incorrect products

  • Stolen or undelivered packages

Not Eligible for Return/Exchange

  • Subjective flavor concerns: Taste varies by harvest, processing method, and roasting style.

  • Grade variations: Grading systems differ by country; we recommend researching before purchase.

  • Used, opened, or repackaged products

Returned green coffee must be unopened, in its original packaging, and in resealable, sanitary condition.

To initiate a green coffee return, email us at support@copantrade.com with:

  • Name

  • Order Number

  • Description of the issue

Once approved, we will email you a prepaid return label.

If you choose not to exchange the product, we will refund the product cost minus shipping fees.


3. OTHER PRODUCT RETURNS (NON-COFFEE ITEMS)

Unused merchandise and non-food items may be returned within 7 days of purchase.

Email support@copantrade.com with:

  • Name

  • Order Number

  • Quantity being returned

  • Reason for the return

We will send a return label after processing your request.


4. ORDER CANCELLATIONS & CHANGES

To request a cancellation or modify an existing order, contact us immediately at support@copantrade.com.

Please include:

  • Name

  • Order Number

  • Requested changes

Notes:

  • Items can be removed for a partial refund without canceling the entire order.

  • Additional items must be placed as a new order.

  • If any product is missing or incorrect, we will resolve it promptly.


Summary — What Cannot Be Returned

For clarity, these items are NON-REFUNDABLE and cannot be returned:

  • Any roasted coffee (online roasting service or wholesale)

  • Any finished food product

  • Any opened green coffee

  • Any roasted product with flavor concerns or roast preference issues

These rules are required by FDA food-safety law and our SQF certification, which prohibit accepting or reselling returned used food product of any kind.
